Leadership Training
This section identifies the three main volunteer leaders needed for each campaign as well as a checklist of their responsibilities.

Campaign Director
Assumes responsibility for all volunteer needs from pre-trip planning
as well as throughout the trip.
Pre-Trip / Travel
Coordinate travel schedules, ground / air transportation, contingency plans.
Coordinate food, lodging needs
Coordinate pre-trip equipment & supply inventory
Coordinate appropriate packing to ensure customs clearance
Have all paper work ready including the inventory list for individual trunks, original letter of donation and the copy we sent you for state approval to enter with medicines. I will have original letter of approval if needed. (DOES THIS APPLY TO US? – IF NOT STRIKE)
Do not put labels on the containers indicating medicines or medical supplies. Divide the medical containers up among the travelers. Each team member has one checked bag and one container containing medical supplies. Put the same identity on the container as the luggage. If customs stops one of you, open the personal bag first, then begin opening the container. If they examine the container they may ask for state approved paperwork and to see all the containers. Usually, they don't check every bag if the first inventory list is accurate. Campaign Director needs to be the last one through in case there is a problem.
Coordination of pre-trip certification for each volunteer to include:
Copy of current passport and / or Visa as required (renew if expiring within 6 months of trip dates (If there is a lost Passport, promptly call the nearest American Embassy or consulate and the local police. The American Embassy in Romania is: 40-1-210-4042 Fax: 40-1-211-3360
Copy of completed ServingHIM Registration Form (available as pdf file) Ensure current information and email address for future use.
Copy of current Immunization Record
Copy of current Drivers License
Copy of testimony
Emergency Contact information
Pre-Trip coordination with Medical Director and Evangelism Coordinator to review plans and ensure organization and proper preparation.
Schedule and conduct pre-trip coordination meetings to pray for the trip and to ensure that all necessary paperwork is turned in, teams trained and questions answered. Meetings held prior to trip at 90 days, 60 days and 30 days as needed.
Interface and coordinate needs with the local team.
Assist volunteer teams with pre-trip fundraising tips (sample fund raising letter in registration packet)
Trip Responsibilities
Campaign Director serves as “go to” person for any issues that arise during the campaign.
Coordinates Outreach Dinner
Coordinates music / speaker for evening
Coordinates food requirements
Ensures all volunteers participate
Coordinates printing and distribution of invitation in their language
Maintains pulse of supply / equipment needs
Serves as primary contact for interface with local coordinators
Procurement and security of financial resources for use on the trip.
Is sensitive to the needs of the volunteers and makes decisions that will be in their best interest whether it is for them to take a break or switch roles with someone.

Medical Director
The Medical Director assumes total responsibility for assembling his / her medical team and their needed supplies and medications. The team can vary from 3 to 12 healthcare professionals.
A typical dental team may include:
Dentist's, Physicians (oral surgeon, restorative dentist, dentist for pre-treatment preparation)
Dental Hygienists
Nurse (for triage and drug disbursement)
A non-dental medical team may include:
Family Practice Physician
Internal Medicine Physician
All Physician Specializations
Nurse Practitioner
Physician Assistants
Nurses (RN's, Lvn's, Cna's)
The following is a list of equipment / supplies that are already available at the Clinic:

Evangelism Coordinator
Depending on the volunteers available, this may be part of the Campaign Directors role to oversee the evangelism of the patients with the help of a coordinator for the youth and children. The goal of the Evangelism Coordinator is to ensure that every patient that receives medical care, has the opportunity for evangelism if they would like to talk with someone. The evangelism locations are divided into two locations, one is where the patients are waiting to receive medical treatment and the second area is where the youth and children gather for activities.
The best preparation you can have for this role is to have a heart for people and be open to share your faith. In many cases this was the first time some of our volunteers have witnessed with such a focused evangelism approach and praying with someone to receive Christ.

There will be local volunteers available to serve as interpreters.
You will feel better prepared if you understand the beliefs of the majority of the people of the region that you are planning to visit.
